Ford has launched Ford Pro AI in Europe, a Gemini-powered assistant embedded in Ford Pro Telematics that turns hours of manual fleet data searching into instant, conversational answers — tackling an admin burden that eats up to 20 hours of a fleet manager's time every month.
The Admin Burden Facing Fleet Managers
Fleet managers oversee a company's commercial vehicles, drivers and related logistics, but according to telematics expert Jeremy Gould, Director of Ford Pro Solutions in Europe, most are stretched thin. "Only the largest companies have dedicated fleet managers, and many of those are already multitasking, working on bits for HR, finance and marketing," he explains.
Smaller businesses often have no dedicated fleet manager at all. "Smaller customers don't have dedicated fleet managers and often in the field. It's only in the evening that they have time to think about optimising their fleet operations," Gould says.
The numbers back this up. Ford's own research shows an unexpected vehicle downtime incident results in an average of 2.4 hours of administrative work, rising to 2.7 hours for medium or large fleets. Overall, fleet administration consumes 5-10% of a manager's working time, equating to 15 to 20 hours per month.

Ford Pro AI is an AI-powered solution that assists fleet managers with data analysis, and it launched in Europe today. It's built directly into Ford Pro Telematics, one of the subscriptions that helped Ford reach more than 900,000 active paid software subscriptions globally in Q2 2026.
Powered by Google Cloud Platform and Gemini, the platform answers questions about driving behaviour, vehicle utilisation, trip and location history, and vehicle health and maintenance, drawing on data from fleet reports. "We're replacing manual data searching with instant, conversational answers, all designed to enable fleet managers to quickly find actionable, digestible insights to keep their fleets running smoothly," Gould says.
The tool draws on deep, high-fidelity vehicle signals — from precise engine health metrics and battery state of charge to real-time seatbelt usage — combining proprietary vehicle schematics with real-time telemetry to explain exactly why a vehicle may have a warning light and how to fix it.

Real Insights, Real Fast
In a demo, asking the platform about cutting fuel costs returned two general recommendations: reduce idling and reduce speeding, since speeding leads to harsh braking. Ford notes that tailored recommendations become available when managers ask more specific questions, such as whether vehicles are mostly driven in cities or on highways.
Another demo example involved asking which drivers in a fleet had the lowest driving score. The platform returned a summary of all speeding violations, identifying the vehicles and drivers involved, then generated multiple AI-driven recommendations to reduce future speeding — including targeted coaching, in-vehicle coaching, threshold-based alerts, and vehicle controls where appropriate.
